Team Management

Invite team members, manage roles, and control who can access your workspace.

Fluent Forms has three permission levels: Owner, Admin, and Member. Each role controls what a user can see and do across the platform.

Permission levels

Owner

The Owner is the person who created the company. There can only be one Owner. They have full control over everything, including:

  • Create, edit, and delete forms
  • Assign forms to team members
  • View and export all entries
  • Invite and remove team members
  • Change anyone's role (including promoting someone to Owner)
  • Manage company settings (name, logo, branding)
  • Manage billing, subscription, and payment methods
  • Delete the company

Admin

Admins can manage day-to-day operations but cannot access billing or delete the company:

  • Create, edit, and delete forms
  • Assign forms to team members
  • View and export all entries
  • Invite and remove team members
  • Change roles (can assign Admin or Member)
  • Update company settings (name, logo)

Admins cannot access billing or delete the company. These actions are reserved for the Owner.

Member

Members are the team's form fillers. They can only see what's been assigned to them:

  • View and fill assigned forms
  • Save drafts and submit entries
  • Update their own profile

Members cannot create forms, view other people's entries, invite users, or access any company settings.

Inviting team members

Only Owners and Admins can invite new members.

  1. Go to Team in the sidebar
  2. Click Invite Member
  3. Enter their email address and choose a role (Admin or Member)
  4. They'll receive an email with a link to join your workspace

Invites expire after 7 days. You can resend or revoke a pending invite at any time.

Changing someone's role

From the Team page, click the role badge next to a team member to change it. Owners can assign any role. Admins can assign Admin or Member.

Removing a team member

From the Team page, click the menu on a team member's row and select Remove. This immediately revokes their access to all forms and data. Their past submissions are preserved.

User limits

The number of team members depends on your plan:

  • Free — 1 user (Owner only)
  • Pro — Unlimited users at £10/user/mo (limits scale with team size)

If you've reached your user limit, you can purchase additional seats from Company Settings. Changes take effect immediately with prorated billing.
