Voice Fill Troubleshooting

Common issues with Voice Fill and how to fix them — microphone problems, empty recordings, and more.

If Voice Fill isn't working as expected, run through the checks below. Most issues are resolved in under a minute.

1. Check Your Microphone Permission

Your browser needs permission to use the microphone. If you accidentally denied it, Voice Fill won't be able to record.

  • Chrome / Edge: Click the lock icon (or tune icon) in the address bar → set Microphone to Allow → refresh the page.
  • Safari: Go to Safari → Settings → Websites → Microphone → set your site to Allow.
  • Firefox: Click the lock icon in the address bar → clear the microphone permission → refresh and allow when prompted.

On mobile, check your device settings too — make sure the browser app itself has microphone access enabled under Settings → Privacy → Microphone.

2. Make Sure the Microphone Is Active

Tap the Voice Fill button and watch for the browser's recording indicator (a red dot or microphone icon in the address bar or tab). If it doesn't appear:

  • Another app may be using the microphone (e.g. a video call). Close it and try again.
  • On Bluetooth headsets, the microphone may default to a different device. Check your system sound settings.
  • Try unplugging and re-plugging your headset, or switching to the built-in microphone.

3. Speak Clearly and Naturally

Voice Fill uses AI to match your speech to form fields. For best results:

  • Mention field names — e.g. "Vehicle registration is AB12 CDE" rather than just "AB12 CDE".
  • Speak at a normal pace — rushing or mumbling can reduce accuracy.
  • Minimise background noise — move to a quieter area if possible.
  • Use industry terms — Voice Fill understands common slang and abbreviations.

4. Recording Too Short or Silent

If the recording finishes but no transcript appears, the audio may have been empty or too short.

  • Ensure you're speaking after the recording starts (look for the timer counting up).
  • Try recording for at least 3–5 seconds.
  • Avoid tapping the stop button immediately; give it a moment.

5. Assignment Not Found Error

This usually means the form you were filling could not be matched to your account. Try the following:

  • Refresh the page and re-open the form before recording.
  • If you were using an Open to All form, make sure you've claimed it first.
  • Check you're logged in to the correct account.

6. No Fields Could Be Filled

If Voice Fill shows a "No fields could be filled" warning, the AI wasn't able to map your speech to any form fields.

  • Edit the transcript — you can manually tweak it in the text box, then tap Process again.
  • Re-record — try being more specific about which fields you're filling in.
  • Make sure the form actually has fields that match what you're describing.
